Inviting your team

How the Add user flow works: every added user receives an account setup email, what the email contains, and what to do if it does not arrive.

You add people to your workspace from the Team page under My Account, at /access/users. The Add user form takes an email address, an optional display name and a default site, and every added user receives an account setup email before they can sign in.

Adding a user

Open Add user, enter the email address of the person, optionally their full name, and choose their default site. On submit, VoraSuite creates the user record and sends the setup email. Product access is assigned afterwards, from the user modal, so you can add someone first and decide their access levels next.

What the setup email does

The email always goes out, and its form depends on whether the address already has a VoraSuite account. A new user receives an invite link that verifies their address and takes them to set a password. A person who already has an account, for example at another company using VoraSuite, receives a password link instead. Either way, the user proves they own the address before the account is usable.

If the email does not arrive

  • Ask the user to check their spam or junk folder; setup emails are sometimes filtered.
  • Confirm the address was typed correctly in the register; a typo means the email went elsewhere.
  • Resend the account setup email from the user modal on the Team page.
  • If the user already had an account, Send password reset from the user modal delivers a fresh link.

After the first sign in

Once the user has set their password they land in the workspace with whatever product access you have assigned. If you have not yet enabled any products for them, do that in the user modal; access takes effect immediately.

Seats are only used by access

Adding a user does not consume a named user seat by itself. A seat is used when you grant the user product access on a site, and seat limits are enforced server side.
